Terms & Conditions of Hire
1. Introduction
These Terms & Conditions (“Terms”) apply to the hire of products (“Hire Items”) from Forever Paper Co. (“we,” “us,” “our”) to you, the client (“you,” “your”). By placing a hire booking you agree to comply with these Terms.
These Terms complement our main Terms & Conditions of Sale, which remain in effect for all purchases made from our website.
2. Booking & Payment
2.1 Hire Fees
Hire fees are displayed on the relevant product pages of our website or will be confirmed via email. Prices are subject to change, but this will not affect confirmed bookings.
2.2 Hire Period
The minimum hire period is 3 days. The first day of the hire period (Start Date) will be considered the collection day and the last day of the return period (End Date) will be considered the return day.
2.3 Security Deposit
A refundable security deposit is required upfront to secure your hire booking. The applicable security deposit will be confirmed to you at the time of booking. Your booking is not confirmed until the security deposit has been received by us and you have received your booking confirmation email.
The security deposit will be refunded within 7 days of the Hire Items being returned, provided that:
• The hire reservation was not cancelled less than 6 months before the Start Date
• The Hire Items are returned on time and no later than the agreed hire period End Date
• The Hire Items are returned in the same condition they were in when hired out
If any of the above conditions are not met, deductions will be made from the security deposit (see Sections 6 & 7).
3. Collection & Return
3.1 Collection
Clients must collect their Hire Items from our studio in Newport (NP10), South Wales. The full collection address will be provided after your booking is confirmed. Collection and return days must be included within your hire period (e.g., for a 3-day hire: Day 1 = Collection, Day 2 = Event, Day 3 = Return).
3.2 Return
Clients must return Hire Items no later than the last day of the agreed hire period (End Date) and returns must be made to the same collection location (unless an alternative address is provided by a member of our team) during our agreed business hours. Hire Items must be handed to an employee of Forever Paper Co.
Failure to return items within the agreed timeframe or to a member of our team may
result in penalty fees (see Section 6).
4. Use of Hire Items
Hire Items must only be used for their intended purpose and handled with care to prevent damage. They should not be exposed to extreme conditions (e.g., excessive moisture, fire, or extreme heat). Prolonged outdoor exposure is only permitted for items explicitly designed for outdoor use (please see the product description for further details).
Clients are responsible for ensuring Hire Items are used safely and in compliance with
any event venue requirements.
5. Damage, Loss & Cleaning
5.1 Condition of Hire Items
Hire Items will be checked, cleaned and documented before being handed over. Upon collection, clients must inspect all items and report any defects or issues
immediately.
5.2 Responsibility for Damage & Loss
Clients assume full responsibility for the Hire Items for the entire duration of the hire period. If any Hire Items are returned damaged, altered, or missing, we reserve the right to deduct repair/replacement costs from the security deposit. If the repair/replacement cost exceeds the deposit amount, the client remains liable for the full cost of repairs or replacement.
5.3 Cleaning
All Hire Items must be returned in a clean and reusable condition. If additional cleaning is required beyond reasonable expectations, a cleaning fee may be deducted from the security deposit.
6. Late Returns & Penalties
6.1 Late Return Fees
If Hire Items are returned late, a daily late fee of 25% of the total hire fee will be charged and deducted from the security deposit. If items are not returned within 7 days of the agreed return date, we will assume the items are lost, and the full replacement cost will be
charged.
7. Cancellations & Refunds
7.1 Cancellation by the Client
• If you cancel more than 6 months before the hire Start Date and less than 24 hours after placing your hire booking (paying), your security deposit and hire fee will be fully refunded
• Ifyou cancel more than 6 months before the hire Start Date and more than 24 hours after placing your hire booking (paying), your security deposit and hire fee will be refunded less a £35 administration charge
• If you cancel less than 6 months before the hire Start Date, the security deposit will be forfeited
• If you cancel less than 60 days before the hire Start Date, both the security deposit and the hire fee are non-refundable
7.2 Cancellation by Us
We reserve the right to cancel a hire booking due to unforeseen circumstances
(e.g., Hire Items becoming unavailable due to prior damage). In such cases, a full refund of any payments made will be issued.
8. Liability & Indemnity
8.1 Limitation of Liability
We are not liable for any injury, loss, or damage caused by the misuse or improper handling of the Hire Items. We are not responsible for any losses incurred by event cancellations, venue restrictions, or force majeure events. Our total liability under this agreement shall not exceed the total hire fee paid by the client.
8.2 Client Indemnity
The client agrees to indemnify and hold us harmless against any claims, damages, or liabilities arising from the use of the Hire Items during the hire period.
9. Force Majeure
We will not be liable if we are unable to fulfil a hire booking due to events beyond our reasonable control, including but not limited to:
1. Natural disasters (e.g., floods, earthquakes, storms)
2. Fire, explosions, or severe weather conditions
3. Strikes, lockouts, or labour disputes
4. Government restrictions, pandemics, or national emergencies
If such an event occurs, we will contact you as soon as possible to discuss alternative arrangements or offer a refund where appropriate.
10. General Terms
10.1 Ownership
All Hire Items remain the property of Forever Paper Co. at all times. Hiring an item does not grant any ownership rights.
10.2 No Sub-Hiring
Clients may not sub-hire or rent out the Hire Items to any third party.
10.3 Governing Law
These Terms shall be governed by and interpreted in accordance with the laws of England and Wales. Any disputes arising shall be subject to the exclusive jurisdiction of the courts of England and Wales.
10.4 Changes to These Terms
We reserve the right to update or modify these Terms at any time. Any changes will
be posted on our website and apply to future hire agreements.
